Preparing and running the challenge

Where to get the materials, where to find the answer sheets and the correct answers, and what the venue needs on the day

What do I need to do to run the challenge?

Choose the date, the format and the script of the event, invite participants, prepare the room and the equipment, download the materials and print the necessary documents. Before the event, check the presentation, the video and the sound equipment.

Where are the presentation with the questions and the other materials?

The materials are published in the organiser’s account. Download them to your computer and check them before the event.

Which materials have to be printed?

For the in-person and mixed formats you will need answer sheets, correct answer sheets and diplomas. We recommend one person checking answers for every 15 participants taking the challenge on paper.

Who checks the participants’ results and how are they counted?

An online participant’s result is shown automatically. Paper sheets are checked by the venue team against the correct answer sheet. Once checked, the scores of the participants who took the challenge offline have to be entered in the account.

Are diplomas provided for participants?

Diploma templates are provided in electronic form. For in-person participants the venue prints the diplomas itself, in colour on heavy paper where possible. In the online format the participant’s diploma is generated automatically once they finish the challenge.

Do the completed answer sheets have to be sent to the organisers?

Answer sheets are used to check the participants’ results. They do not need to be sent to the project organisers with the final report.

What if a participant cannot register on the site?

Ask them to register through the venue’s unique link. If registering on the site still does not work, the participant can take the challenge in person on a paper sheet, and the organiser will enter their result in the account after the event.

Do I have to film the whole event?

A few short clips of 5–15 seconds and some photographs are enough for the report: the venue, the participants, the event itself, the emotions and the diplomas being handed out.
